The Email Warm-Up Strategy

The Email Warm-Up Strategy

Before you send any meaningful volume of outbound email, the inbox and domain need to be warmed up. New or low-activity accounts that suddenly send dozens or hundreds of emails are treated as suspicious by inbox providers.

Warm-up is the process of gradually increasing sending volume while maintaining positive engagement signals (opens, replies, low bounces, low spam complaints). It builds the reputation that lets future campaigns land in the inbox instead of spam.

How warm-up works

  • Start with very low daily volume and increase slowly over days or weeks.
  • Send to engaged or known contacts first when possible.
  • Monitor bounce rate, spam complaints, and placement closely.
  • Use dedicated warm-up tools or features built into modern outbound platforms.
  • Authenticate the domain properly (SPF, DKIM, DMARC) before scaling.

Skipping warm-up is one of the fastest ways to damage a domain. Once reputation is hurt, recovery is slow and expensive.

Bottom line: Warm-up is not optional. Treat it as a required first step before any serious outbound campaign.
